ReproRemind LLC ("ReproRemind," "we," "us," or "our") provides reproductive workflow software for cattle breeders, vets, and repro experts at reproremind.com and any associated subdomains, mobile interfaces, and APIs (collectively, the "Service"). This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the rights you have over it.
We wrote this in plain English. We do not sell personal information. We do not show ads. We do not train machine-learning models on your herd records. If anything below is unclear, email us at support@reproremind.com.
1. Information we collect
1a. Information you provide directly
- Account information: name, email address, password (stored hashed), mobile phone number (if provided), business or ranch name, and physical address (street, city, state, ZIP).
- Billing information: handled by Stripe, our payment processor. We never see or store your payment card number, CVV, or full bank account details. We retain a Stripe customer ID and the last four digits of the card for support and reconciliation.
- Herd and operational data: cow records (tags, breeds, dates of birth, registration numbers, photos, notes), breeding events, calving events, protocol enrollments, tasks, sessions, custom event types, and notification preferences. You own this data; see §6.
- Team and consultant information: when you invite a team member, vet, or repro expert, we collect their name and email so we can send the invitation and provision their access.
- Communications: messages you send to support, feedback you submit, and content you post in support tickets or pilot surveys.
1b. Information collected automatically
- Device and connection data: IP address, browser type and version, operating system, device identifiers, language preference, time zone, and referring URL.
- Usage data: pages viewed, features used, timestamps of actions, errors encountered, and approximate session duration.
- Cookies and similar technologies: see §7.
- Email and SMS engagement: open and click signals on the transactional messages we send, used to confirm delivery and improve reliability.
1c. Information from third parties
- Payment status, dispute notices, and refund records from Stripe.
- SMS delivery receipts, opt-out signals (STOP/UNSUBSCRIBE/CANCEL/QUIT/END), and inbound replies from Twilio.
- Identity-verification or fraud-prevention signals if we are required to investigate suspicious activity.
2. How we use information
- Operate the Service: store your records, generate tasks, schedule and deliver reminders, route notifications, render reports, process imports and exports.
- Communicate with you: send transactional email and SMS related to your account (delivery confirmations, reminder digests, security alerts, billing receipts, refund confirmations, policy updates).
- Process payments and prevent fraud: charge subscriptions, issue refunds, investigate suspicious activity.
- Improve the Service: debug errors, monitor reliability, measure feature usage in aggregate, build product improvements.
- Comply with the law: respond to lawful requests, enforce our Terms, prevent harm to users or the public, defend legal claims.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not use your herd data, events, or notes to train AI models, ours or anyone else's.
3. Legal bases for processing
Where applicable (for example, if you are visiting from the European Economic Area or the United Kingdom), we rely on the following legal bases:
- Performance of a contract — to deliver the Service you signed up for.
- Consent — for SMS messaging, marketing emails (where opt-in is required), and optional features.
- Legitimate interests — to operate, secure, and improve the Service in ways you would reasonably expect.
- Legal obligation — to comply with applicable laws.
4. Sharing and disclosure
4a. Subprocessors
We use a small number of vendors to run the Service. Each is contractually bound to use your information only to provide services to us:
- Amazon Web Services (AWS) — application hosting, database, file storage, and outbound email infrastructure (United States).
- Twilio — SMS delivery and inbound STOP/START/HELP keyword handling (United States).
- Stripe — subscription billing and payment processing (United States).
- Sentry or equivalent error-reporting service — application crash and error monitoring.
- Email-deliverability vendor — for transactional email signing and bounce handling.
We will update this list when we add or change a subprocessor. If you require advance notice of subprocessor changes for your own compliance, email support@reproremind.com.
4b. Within your account
Information you create inside a domain (cows, events, tasks, notes) is visible to other authorized members of that domain — your team, your invited vet, your invited repro expert. You control who is invited and what role they hold.
4c. Legal compliance and safety
We may disclose information if we have a good-faith belief disclosure is necessary to (i) comply with a subpoena, court order, or other legal process, (ii) enforce our Terms, (iii) protect the rights, property, or safety of ReproRemind, our users, or the public, or (iv) detect, prevent, or address fraud, security, or technical issues.
4d. Business transfers
If ReproRemind is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality protections. We will notify you before your information is transferred and becomes subject to a different privacy policy.
5. SMS messaging
SMS reminders are an opt-in feature on paid plans. We send messages only after you have provided express written consent (typically by checking the SMS-consent box and providing a mobile number). Consent for SMS is not a condition of purchase. Reply STOP at any time to opt out, or HELP for help. Message and data rates may apply. Message frequency varies. 6. Your data, your control
- Access and portability: export cows, events, and tasks as CSV, and reports as PDF, at any time — including after cancellation. Available in Settings.
- Correction: edit any cow record, event, or account detail directly in the app.
- Deletion: delete your account from Settings → Danger zone, or email support@reproremind.com. Account deletion soft-deletes your records immediately and permanently purges them within 30 days. Backups roll out within an additional 30 days.
- Subscription cancellation does not delete data. Your account becomes read-only and your data remains exportable for 90 days after lapse, then we may begin retention cleanup with prior notice.
7. Cookies and similar technologies
We use cookies (small files stored on your device) for the following purposes:
- Strictly necessary — to keep you logged in, remember your active domain, and prevent CSRF attacks. These cannot be disabled without breaking the Service.
- Functional — to remember preferences such as dark/light mode and the most recent search filters.
- Analytics — to understand which features get used so we can improve them. Aggregate, not individual.
We do not use third-party advertising cookies and we do not participate in cross-context behavioral advertising. Most browsers let you refuse cookies; doing so may affect your ability to use the Service.
8. Data retention
- Active accounts — retained for as long as the account remains active.
- Cancelled accounts — retained 90 days after cancellation, then permanently deleted unless you request earlier deletion.
- Deleted accounts — soft-deleted immediately, hard-deleted within 30 days, and removed from backups within an additional 30 days.
- Billing records — retained as required by tax and accounting law (typically 7 years).
- SMS consent records and opt-out logs — retained at least 4 years for TCPA compliance.
- Audit logs of sensitive actions (subscription changes, role changes, data exports, account deletion) — retained for 2 years.
9. Security
We protect information using industry-standard practices: TLS 1.2+ for data in transit, AES-256 encryption for data at rest, hashed passwords (bcrypt or equivalent), least-privilege access controls, multi-factor authentication for staff, regular security patching, and routine backups. No system is perfectly secure; we will notify affected users without unreasonable delay if we become aware of a security breach involving their personal information.
10. Your privacy rights
10a. All users
You may exercise the following rights at any time, free of charge, by emailing support@reproremind.com or using the in-app controls described in §6:
- Know what personal information we hold about you.
- Receive a copy of that information in a portable format.
- Correct inaccurate information.
- Delete your information, subject to limited exceptions for law and legitimate business need.
- Opt out of non-essential communications.
10b. California residents (CCPA / CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act and California Privacy Rights Act:
- Right to know — request the categories and specific pieces of personal information we have collected, used, disclosed, or sold.
- Right to delete — request deletion of personal information we have collected from you.
- Right to correct — request correction of inaccurate personal information.
- Right to opt out of sale or sharing — we do not sell personal information and do not share it for cross-context behavioral advertising; there is nothing to opt out of, but you may submit a request anyway and we will confirm.
- Right to limit use of sensitive personal information — we collect mobile phone numbers (sensitive PI for some uses); we use them only for the purpose for which you provided them (account security, SMS reminders).
- Right to non-discrimination — we will not deny service, charge a different price, or provide a different level of service because you exercised your rights.
- Authorized agents — you may designate an agent to make a request on your behalf. We may require verification of the agent's authority.
10c. Other US state privacy laws
Residents of Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws have rights similar to those described in §10a, including the right to access, correct, delete, and opt out of certain processing. Submit requests to support@reproremind.com.
10d. EU/EEA and UK residents (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have additional rights under the GDPR and UK GDPR, including the rights to access, rectify, erase, restrict processing, object to processing, and data portability. You also have the right to lodge a complaint with your local supervisory authority. ReproRemind is based in the United States; if you submit personal information to us, you are consenting to its transfer to and processing in the United States, which may have different data-protection standards than your jurisdiction.
11. International data transfers
Our infrastructure and most of our subprocessors are located in the United States. By using the Service from outside the United States, you consent to the transfer of your information to the United States.
12. Children's privacy
ReproRemind is a business tool intended for adult cattle breeders, ranch staff, vets, and repro experts. We do not knowingly collect personal information from anyone under 13 years of age. If you believe a child under 13 has provided us with personal information, please contact us at support@reproremind.com and we will delete it.
13. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in the Service, our practices, or applicable law. We will post the updated version with a new "last updated" date and, for material changes affecting paid customers, notify you by email at least 30 days before the change takes effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
14. Do Not Track signals
Some browsers send a "Do Not Track" signal. There is no industry consensus on how to interpret this signal; we currently do not respond to it. Because we do not engage in cross-context behavioral advertising, the practical effect is the same as if we did.
